We offer early, regular, and late registration periods this year. We have priced our participation fees carefully, bearing in mind the need to put both conference attendance and NYC lodging within delegation budgets. Our policy is to charge a $70 fixed price per delegation and a variable registration per delegate.
Please be aware that to secure a specific price, we require proof of payment, or an administration letter indicating intent, within 2 weeks of registration.To ease the burden of stress on head delegates and advisors, the Secretariat will be posting information regarding different accommodations available throughout the city. We have secured contracts with a number of venues which target a balance of affordability, comfort, and ease of access to city attractions.
Delegations are of course free to choose any hotel they wish, and we would be eager to work to address any specific issues or concerns.We will not be charging a per-advisor registration fee this year. However, all delegations must submit information regarding their advisor when delegation information is confirmed, so that our staff can print appropriate identification.
For security reasons, we require all delegates and advisors to have badges. If we do not receive the information beforehand to have advisor badges prepared, we will have to charge a $10 per-badge fee to have additional materials prepared.We are actively investigating options for payment, including PayPal, Google Checkout, or through Columbia’s TIC office.
For the time being, the only payment option available is to issue a check payable to CIRCA. If feasible, scan a copy prior to mailing so that our Secretariat has your proof of payment as soon as possible. Please mail all documents to our treasurer, Yilin “Tim” Chen. His address is at left.Unfortunately, we cannot guarantee pricing if we do not receive proof of payment or an administrative letter of intent within 2 weeks of your registration. As a result, if you register in Early but fail to provide documentation well into the Regular period, we would have to charge at the Regular registration rate.
If you run into issues with administrative or other protocol, we would be eager to work through those with you.We want to be as clear and upfront as possible about the deadlines, so that head delegates have as much time to be prepared as they can get. Our timeline is indicated at right, in the Timeline on the Registration page, and will be included in confirmation emails upon registration.
Unfortunately, we will not be able to provide assignments until preferences are received.We know that many schools will not know exactly who will attend CMUNNY until well into September, so we will not require specific delegate and advisor information until the 21st. The Aug 31st deadline pertains simply to the committees preferred and the number of delegates attending.
Please do note that we nonetheless have a deadline for submitting delegation information, because our Secretariat needs time to prepare badges and other personalized materials.Delegations are welcome to change the number of delegates attending the conference until the end of the late registration period, subject to any constraints on conference attendance or delegation size. However, we can only refund reductions in delegation size based on the refund policy above, and will charge additions according to the per-delegate registration cost in the period of the change.
Additionally, delegations can choose to change the information of particular delegates until the end of the late registration period.However, we reserve the right to charge $10 per delegate for requests following the end of registration, to cover re-printing and other administrative costs.
